Terms & Conditions

These Terms & Conditions ("Terms") govern your use of the PlaceMates website and services. By booking, purchasing, or engaging any PlaceMates service, you agree to be bound by these Terms.

These Terms apply to all consultations, reports, audits, compliance and documentation services, property setup services, ongoing management services, digital products, and linen/amenity hire services provided by PlaceMates.

1. About PlaceMates

PlaceMates is an Australian-based short-term rental consulting, styling, and management service.

PlaceMates is currently operated by Teri Lorigan as a Sole Trader under:

PlaceMates may transition to a company structure in future. These Terms will continue to apply to services delivered under the PlaceMates name, regardless of business structure changes.

2. Eligibility

By accessing or using our website or services, you represent that you are over the age of 18. PlaceMates does not knowingly provide services to individuals under 18.

3. Services Offered

PlaceMates provides the following services:

3.1 Consultation Services

  • Pick My Brain Session — $75 (1-hour video consultation)
  • Site Visit — $150 (1-hour in-person property assessment)

3.2 Suburb Market Report

A paid, data-driven report analysing short-term rental performance and market conditions for a specified suburb, prepared using third-party market data sources and PlaceMates' operational analysis. Pricing and inclusions are provided at the time of order.

3.3 Listing Audit

A standalone paid review of an existing listing (e.g. Airbnb, Booking.com), assessing content, pricing, photography, and platform optimisation, with written recommendations provided. This may also be included as part of a broader Property Setup & Styling engagement (see Section 3.7).

3.4 Booking Performance Audit

A paid review of a property's booking and revenue performance (currently $250), assessing pricing strategy, occupancy trends, and platform performance against comparable properties, with written findings and recommendations.

3.5 Multi-Channel Listing & PMS Setup

Standalone or bundled setup services relating to distribution and systems, including:

  • Digital listing creation and setup across multiple booking platforms (e.g. Airbnb, Booking.com, direct booking channels)
  • Property Management System (PMS) setup, configuration, and channel connection (e.g. Guesty)

Where provided as part of a broader Property Setup & Styling engagement, these services are included within that engagement's quote and scope. Where commissioned as a standalone service, pricing and scope will be confirmed in writing prior to commencement.

3.6 Compliance & Documentation Services

Standalone or bundled services relating to regulatory and safety documentation, including:

  • NSW STRA compliance support and registration assistance
  • Preparation of evacuation diagrams and guest safety documentation

Where provided as part of a broader Property Setup & Styling engagement, these services are included within that engagement's quote and scope. Where commissioned as a standalone service, pricing and scope will be confirmed in writing prior to commencement.

3.7 Property Setup & Styling Services

Services may include, but are not limited to:

  • Listing audits and optimisation
  • Property styling and furnishing support
  • Multi-channel listing and PMS setup (see Section 3.5)
  • Compliance and documentation support (see Section 3.6)
  • Pack & Prep services for overseas owners
  • Coordination of photography, trades, or installations where required

3.8 Ongoing Property Management

Ongoing property management is offered by application only and is generally available only to properties that have completed an initial PlaceMates setup service.

All properties receiving ongoing management must be enrolled in PlaceMates' nominated property management system (PMS). This is required so PlaceMates can maintain accurate reservation data, calendars, financial reporting, task records, owner visibility, and agreed automations.

The available management tiers are:

3.8.1 Operations Support — 10% GST inclusive

Operations Support is a limited-scope service for owners who require PlaceMates to manage one nominated operational function while retaining responsibility for all other aspects of hosting.

The selected function may be one of the following:

  • cleaner scheduling, turnover coordination, and routine cleaning follow-up;
  • pricing, minimum-stay, booking-window, and availability management;
  • local guest support and agreed property-response coordination; or
  • another clearly defined operational function agreed in writing.

The selected function, operating hours, communication channels, exclusions, and any response requirements must be recorded in the applicable Service Schedule.

Unless expressly included, Operations Support does not include full guest messaging, listing optimisation, owner reporting, claims management, maintenance oversight, pricing management, cleaning coordination, or after-hours attendance. Work outside the nominated function may be quoted separately or require movement to another management tier.

3.8.2 Standard Management — 20% GST inclusive

Standard Management is a full remote co-hosting service. Subject to the property-specific Service Schedule, it generally includes:

  • guest communication and booking management;
  • cleaner scheduling and turnover coordination;
  • calendar, availability, pricing, and minimum-stay management;
  • routine listing optimisation;
  • channel and reservation coordination;
  • routine issue triage and owner communication;
  • claims administration and supporting documentation where available; and
  • standard owner reporting and access to the owner dashboard.

Standard Management does not include routine in-person inspections, ongoing local attendance, renovation or project management, extensive maintenance coordination, or unlimited after-hours call-outs unless expressly stated in the Service Schedule.

3.8.3 Premium Management — 30% GST inclusive

Premium Management includes the Standard Management services plus a higher level of proactive property oversight. Subject to the property-specific Service Schedule, it may include:

  • proactive maintenance monitoring and routine coordination;
  • periodic property reviews or agreed inspections;
  • guest-comfort, presentation, and styling recommendations;
  • priority escalation handling;
  • enhanced owner insights and reporting;
  • routine guest-essential oversight; and
  • other agreed local or operational support.

Premium Management includes the Core Systems Fee described in Section 4.6.3. Property-specific, elective, transaction-based, per-reservation, or usage-based third-party charges remain separately payable unless expressly included in the Service Schedule.

Full property-specific inclusions, exclusions, limits, commencement arrangements, and pricing are confirmed in the written quote, management agreement, and Service Schedule. If there is any inconsistency, the signed management agreement and Service Schedule take priority for that property.

3.9 Digital Products & Tools

PlaceMates provides certain digital tools and resources, which may include the Property Earnings Calculator, Property Setup Cost Calculator, and knowledge hub content. Where a digital product or tool is offered free of charge, its use is provided "as is" for general informational purposes and does not form a paid service under these Terms. Where a digital product becomes a paid offering, applicable pricing, access terms, and any specific conditions will be provided at the point of purchase and will supplement these Terms.

3.10 Linen & Amenity Hire Services

PlaceMates offers linen and amenity hire services to short-term rental operators and businesses on a business-to-business (B2B) basis. These services are governed by the specific terms set out in Section 6 (Linen & Amenity Hire Services) below, in addition to the general terms of this document.

3.11 Additional Property Benefits for Existing Clients

Where an existing PlaceMates client (with at least one property already under an active PlaceMates ongoing management agreement) engages PlaceMates to onboard an additional property, the following complimentary and discounted benefits apply to that additional property's initial setup:

  • Complimentary Compliance & Documentation: NSW STRA compliance support and registration assistance, evacuation diagram preparation, fire safety and first aid documentation review, and establishment of the property's compliance audit log are provided at no charge as part of onboarding, in place of the standalone pricing set out in Section 3.6.
  • Choice of either:
    • a complimentary Site Visit (in place of the standard $150 fee set out in Section 3.1), including a written DIY shopping and setup list for the owner to action themselves; or
    • a discounted Property Setup & Styling engagement, at the discount rate confirmed in writing at the time of quote.

These benefits apply once per additional property and are conditional on the existing property (or properties) remaining under an active PlaceMates ongoing management agreement in good standing at the time the benefit is provided. PlaceMates reserves the right to decline or withdraw these benefits where an existing account is overdue or subject to a suspension or termination process under Section 7.

4. Booking & Payment Terms

4.1 Consultations

  • All consultation services must be paid in full at the time of booking.
  • Payment methods may include credit/debit card, bank transfer, or other methods offered at checkout.
  • A confirmation and receipt will be issued via email.

4.2 Suburb Market Report, Listing Audit & Booking Performance Audit

  • These services must be paid in full at the time of order unless otherwise agreed in writing.
  • Reports and audits are prepared and delivered based on the information and access provided by the client; delays in providing necessary information may delay delivery.
  • A confirmation and receipt will be issued via email upon payment.

4.3 Multi-Channel Listing & PMS Setup

  • Where commissioned as a standalone service, payment terms will be confirmed in writing at the time of quote, typically requiring a deposit prior to commencement with final payment due on completion.
  • Where bundled within a Property Setup & Styling engagement, payment follows the terms set out in Section 4.5.

4.4 Compliance & Documentation Services

  • Where commissioned as a standalone service, payment terms will be confirmed in writing at the time of quote and may require a deposit prior to commencement.
  • Where bundled within a Property Setup & Styling engagement, payment follows the terms set out in Section 4.5.

4.5 Property Setup & Styling Services

  • Setup and styling services are provided under a written quote or agreed scope.
  • A deposit of 30–50% is typically required to secure scheduling and commence work.
  • Final payment is due upon completion, or as outlined in your invoice or milestone schedule.
  • PlaceMates reserves the right to pause work if invoices remain unpaid.
  • Where the Additional Property Benefits in Section 3.11 apply, the applicable complimentary items and any agreed discount will be reflected in the written quote for that property.

4.6 Ongoing Property Management

Where ongoing management is agreed:

  • the applicable management tier and selected percentage must be stated in the signed management agreement or Service Schedule;
  • all management percentages and fixed fees stated in these Terms are GST inclusive;
  • all ongoing management properties must remain enrolled in PlaceMates' nominated PMS and provide the access and connections reasonably required to deliver the agreed services;
  • the management fee is calculated in accordance with Section 4.6.1; and
  • owner payouts are managed in accordance with Section 4.6.4.

4.6.1 Management Fee Calculation

The management fee is calculated as the applicable tier percentage of Net Accommodation Earnings.

For the purposes of these Terms:

Net Accommodation Earnings means the amount remaining from total host booking revenue after deducting:

  • channel or booking-platform commission charged against that reservation; and
  • all Allocated Stay Costs recorded against that reservation.

The calculation is:

Total host booking revenue − channel commission − Allocated Stay Costs = Net Accommodation Earnings Net Accommodation Earnings × applicable tier percentage = PlaceMates management fee

For this calculation, total host booking revenue does not include guest-paid platform service fees that are charged and retained directly by the platform, refundable security deposits, or taxes collected solely for remittance.

Allocated Stay Costs means the fixed or actual operating costs assigned to a reservation in PlaceMates' accounting records. Depending on the property and Service Schedule, these may include:

  • turnover cleaning;
  • linen hire, laundry, delivery, or replacement allowance;
  • guest screening, damage protection, waiver, or insurance-related costs, including Guesty Protect and/or Truvi;
  • consumables, amenities, or restocking allowances;
  • payment or reservation-processing costs not already included in channel commission; and
  • any other fixed per-stay cost agreed in the Service Schedule.

Allocated Stay Costs may be incorporated into the property's overall pricing strategy and guest-facing fare rather than displayed to the guest as separate line items. They will be recorded separately in PlaceMates' internal accounts and, where applicable, in owner statements or financial reports.

The amount allocated may be a fixed cost per reservation, per night, per guest, or another reasonable basis stated in the Service Schedule or accounting setup. Where an actual supplier cost varies from the amount initially allocated, PlaceMates may reconcile the difference in the reservation or owner account.

Unless expressly stated in the Service Schedule, the management fee is not calculated on separately itemised owner-funded expenses or other pass-through amounts that do not form part of accommodation earnings.

Discounts, alterations, refunds, credits, chargebacks, cancellations, and platform adjustments may reduce the accommodation revenue used in the calculation where they reduce funds actually received or retained for the reservation.

The applicable GST-inclusive tier percentages are:

  • Operations Support: 10%;
  • Standard Management: 20%; and
  • Premium Management: 30%.

4.6.2 Allocated Stay Costs, Cleaning, and Internal Fare Components

All Allocated Stay Costs are deducted before the management fee is calculated.

Cleaning, linen/laundry, guest protection, consumables, and other fixed stay costs may be built into the property's total guest-facing fare. PlaceMates is not required to display its internal cost allocation or accounting categories as separate guest-facing fees, provided the total price and any compulsory guest charges are presented as required by applicable law and the booking channel.

Allocated Stay Costs may be retained or directed by PlaceMates for payment of the relevant cleaner, laundry, protection provider, supplier, or operating account. They do not form part of Net Accommodation Earnings and are not subject to the tier management percentage.

Deep cleaning, excessive cleaning, damage remediation, missing linen, waste removal, maintenance, and other non-routine costs are not assumed to be covered by the standard per-stay allocation unless expressly stated. These may be claimed from the guest where appropriate or charged to the owner in accordance with the Service Schedule.

If the amount allocated to a stay does not cover the relevant actual cost, the resulting shortfall may be deducted from reservation proceeds or charged to the owner. If the allocation exceeds the final actual supplier cost, the treatment of that difference will follow the property's agreed pricing and accounting structure.

4.6.3 Core Systems Fee and Third-Party Technology Costs

All ongoing management properties must be connected to PlaceMates' nominated PMS.

  • Operations Support: Core Systems Fee of $60 per property per month, GST inclusive.
  • Standard Management: Core Systems Fee of $120 per property per month, GST inclusive.
  • Premium Management: Core Systems Fee included in the 30% management fee.

The Core Systems Fee contributes to the standard systems required to manage the property, which may include the PMS, core owner-dashboard access, standard booking-engine functionality, routine channel synchronisation, pricing-system connectivity, and agreed automation infrastructure. It is a service fee and is not represented as a dollar-for-dollar reimbursement of a particular software invoice.

The Core Systems Fee is payable for each calendar month, or part thereof, that the property remains enrolled and connected to PlaceMates' nominated PMS, regardless of whether the property receives any bookings during that period. This applies equally to owners who list their property year-round and owners who list only for fixed or seasonal periods (for example, while travelling or otherwise unavailable to self-manage). Where an owner wishes to avoid the Core Systems Fee for a period in which the property will not be listed, the property must be fully disconnected and removed from PlaceMates' nominated PMS for that period.

Reconnection to PlaceMates' nominated PMS requires at least 3–5 business days' written notice. The first reconnection in any rolling 12-month period is provided at no additional charge. Any subsequent reconnection within that same 12-month period incurs a $75 (GST inclusive) reconnection administration fee, payable prior to reconnection.

The Core Systems Fee does not include the creation, annual hosting, substantial updating, or continued post-termination use of PlaceMates' proprietary guest guidebooks, knowledge-hub content, or other guest-facing digital resources unless expressly included in the Service Schedule. Routine operational updates to an active guidebook may be included where stated in the selected management tier, but creation, redesign, renewal, hosting, and substantial content work may be charged separately. It also does not include property-specific, transaction-based, per-reservation, per-night, or usage-based third-party products and connections. These may include, without limitation:

  • payment gateway, card processing, chargeback, bank transfer, or foreign-exchange fees;
  • premium booking-engine modules;
  • paid distribution or specialist channel connections, including Google, Marriott, or other distribution partners;
  • Rentals United or similar channel-management charges;
  • smart-lock, noise-monitoring, verification, messaging, or telecommunications subscriptions; and
  • any new third-party service requested by the owner or reasonably required for the property's chosen distribution strategy.

Guesty Protect, Truvi, or another approved guest-screening or protection product may be configured as an Allocated Stay Cost under Sections 4.6.1 and 4.6.2. Where configured this way, its fixed or usage-based allocation is built into the property's pricing model, recorded internally, and deducted before calculation of the management fee.

Any additional technology, distribution, or guidebook/knowledge hub cost must be disclosed in the quote, Service Schedule, owner dashboard, statement, or other written communication before activation where reasonably practicable. It may be charged at the actual third-party cost, as a disclosed fixed fee, or under another agreed pricing method. The owner may decline an optional add-on; however, this may limit the channels, protection, functionality, or services available to the property.

If a third-party provider changes its charges materially, PlaceMates will provide reasonable written notice before passing on the changed cost. If the affected service is not essential to the agreed management service, the owner may decline or discontinue that add-on. If it is essential, PlaceMates and the owner will discuss an alternative; either party may exercise the termination rights in the management agreement if no suitable arrangement can be reached.

4.6.4 Owner Payouts and Reconciliation

Owner payouts become eligible for release after guest checkout, once the relevant booking funds have cleared and applicable management fees, cleaning allocations, third-party costs, approved property expenses, refunds, credits, chargebacks, and other reservation adjustments have been reconciled.

PlaceMates ordinarily processes eligible owner transfers in scheduled transfer runs up to twice weekly. Owners can generally expect cleared funds to be transferred within 3–7 business days after checkout, subject to booking-channel settlement timing, payment-processor timing, weekends, public holidays, bank processing, disputes, and necessary reconciliation.

This timeframe is an operational estimate and does not require PlaceMates to advance an owner payout before the related funds have cleared. PlaceMates may retain a reasonable, documented amount from an affected reservation where a refund, chargeback, guest claim, platform adjustment, or disputed expense remains unresolved.

4.6.5 Owner-Received Platform Payouts

Where a booking platform pays the owner directly, the owner remains responsible for paying PlaceMates' management fee, Core Systems Fee, third-party costs, and approved expenses in accordance with the invoice or statement. Direct payment to the owner does not reduce or remove fees due to PlaceMates.

4.6.6 Changes Between Management Tiers

A management tier may be changed only by written agreement. If the owner requests services outside the current tier or Operations Support function, PlaceMates may quote the additional work, recommend a tier change, or decline work outside scope.

A separate management agreement must be signed before services commence.

4.7 Digital Products & Tools

Where a digital product or tool is offered as a paid service, payment is due in full at the time of purchase unless otherwise stated at checkout.

5. Cancellation & Refund Policy

5.1 Consultation Services

24-hour notice required.

  • Cancellations or reschedule requests made more than 24 hours before the appointment receive a full refund or reschedule option.
  • Requests made less than 24 hours before are non-refundable. One reschedule may be offered within 30 days, subject to availability.
  • No-shows are non-refundable and forfeit the right to reschedule.
  • Cancellations are effective from the time received via email or booking link.

5.2 Suburb Market Report, Listing Audit & Booking Performance Audit

  • Once work on a report or audit has commenced (including data collection or analysis), the fee is non-refundable, as these are prepared specifically for the client's property or requested suburb.
  • If cancelled prior to commencement, a full refund will be provided.

5.3 Multi-Channel Listing & PMS Setup

  • Where provided as a standalone service, cancellation terms will be confirmed in writing at the time of quote, generally consistent with Section 5.5.
  • Where bundled within a Property Setup & Styling engagement, the cancellation terms in Section 5.5 apply.
  • Where setup work has commenced on a third-party platform (e.g. a listing has been published, or a PMS connection made live), fees for that work are non-refundable.

5.4 Compliance & Documentation Services

  • Where provided as a standalone service, cancellation terms will be confirmed in writing at the time of quote, generally consistent with Section 5.5.
  • Where bundled within a Property Setup & Styling engagement, the cancellation terms in Section 5.5 apply.

5.5 Property Setup & Styling Services

  • Deposits are non-refundable once work has commenced, including consultation, sourcing, scheduling, contractor bookings, or ordering materials.
  • If cancelled prior to commencement, deposits will be refunded less a $200 administrative fee.
  • If cancelled after commencement, the client is liable for all costs incurred to date (labour, materials, deliveries, contractor charges). Any remaining balance will be refunded where applicable.
  • Rescheduling: Projects may be rescheduled with at least 7 days' notice. Late rescheduling may incur additional costs.

5.6 Ongoing Property Management Termination

  • 30 days' written notice is required to terminate management services.
  • Confirmed bookings prior to termination may continue to be managed unless otherwise agreed.
  • Final payout will be processed within 14 days after the last guest checkout managed by PlaceMates, subject to funds clearing, platform settlement timing, reconciliation, and any unresolved refunds, claims, chargebacks, or approved expenses. This longer timeframe (compared to the standard 3–7 business day payout cycle in Section 4.6.4) allows PlaceMates to complete final reconciliation, remove any PlaceMates-owned plant and equipment from the property, and issue the final account statement.
  • Following termination, the owner must provide reasonable access for PlaceMates to identify and collect any equipment, hired linen, technology, signage, supplies, or other items documented as owned or hired by PlaceMates. Items purchased by, invoiced to, or reimbursed by the owner remain the owner's property. Collection arrangements must be reasonable and should not unnecessarily interfere with the property or confirmed guest stays.

5.7 Digital Products & Tools

Where a digital product or tool is a paid, one-time purchase, refunds are not generally offered once access has been granted or the product delivered, except where required under the Australian Consumer Law.

6. Linen & Amenity Hire Services

6.1 Scope

PlaceMates provides linen and amenity hire services to short-term rental operators and other businesses ("Hire Client") on a B2B basis. Inclusions, pricing tiers, and item specifications are set out in the applicable service agreement, order form, or price list provided to the Hire Client.

6.2 Payment Terms

  • Hire services are invoiced in accordance with the agreed pricing structure (e.g. per-stay, per-property, or subscription basis) as set out in the applicable order or agreement.
  • Payment is due in accordance with the payment terms stated on the invoice, unless otherwise agreed in writing.
  • PlaceMates reserves the right to pause or suspend hire services for overdue accounts, subject to reasonable notice.

6.3 Hire Term & Cancellation

  • Hire arrangements may be provided on an ongoing, subscription, or per-order basis as agreed between PlaceMates and the Hire Client.
  • Either party may terminate an ongoing hire arrangement with 30 days' written notice, unless a different notice period is specified in the applicable agreement.
  • Cancellation of a specific order after items have been prepared, laundered, or dispatched for delivery may incur a cancellation fee reflecting costs already incurred.

6.4 Condition, Loss & Damage

  • The Hire Client is responsible for the reasonable care of hired linen and amenity items while in their possession or use.
  • Charges may apply for lost, damaged, or excessively soiled items beyond fair wear and tear, at replacement or repair cost.
  • PlaceMates will provide reasonable evidence of any such charges on request.

6.5 Quality & Service Standards

PlaceMates takes reasonable care to ensure linen and amenity items are clean, hygienic, and fit for purpose at the point of delivery. Any quality concerns should be raised promptly with PlaceMates so they can be addressed.

7. Suspension & Termination by PlaceMates

PlaceMates may suspend or terminate the provision of services, in whole or in part, at our reasonable discretion, including where:

  • Invoices remain significantly overdue and unresolved after reasonable notice;
  • A client engages in abusive, unsafe, or unreasonable conduct towards PlaceMates staff or contractors;
  • Continuing the engagement would place PlaceMates in breach of applicable law, platform policy, or regulatory obligation; or
  • Access, information, or approvals required to safely and lawfully deliver the service are not provided.

Where reasonably possible, PlaceMates will provide notice and an opportunity to remedy the issue before suspending or terminating services. Fees paid for work already performed are non-refundable; any prepaid amounts for work not yet performed will be assessed in line with the cancellation terms in Section 5.

8. Scope of Services & Disclaimers

8.1 General Advice Disclaimer

Consultations, reports, audits, and recommendations are based on PlaceMates' operational experience and available data, and do not constitute legal, financial, tax, or investment advice.

Clients should seek independent professional advice where required.

8.2 No Guaranteed Outcomes

While PlaceMates applies best-practice strategies, we do not guarantee:

  • specific revenue outcomes
  • occupancy rates
  • platform ranking results
  • guest behaviour or review outcomes

Short-term rental performance depends on market conditions and factors outside our control.

8.3 Third-Party Contractors

PlaceMates may coordinate third-party contractors such as:

  • electricians
  • plumbers
  • photographers
  • furniture delivery teams
  • cleaners or maintenance providers

While we take reasonable care in selecting contractors, PlaceMates is not liable for delays, defects, or failures caused by third parties.

Any contractor warranties or disputes remain between the owner and contractor.

8.4 Property Condition & Pre-Existing Issues

PlaceMates is not responsible for pre-existing property defects including:

  • plumbing faults
  • structural issues
  • electrical non-compliance
  • mould, pest issues, or building deterioration

These remain the responsibility of the property owner.

8.5 NSW STRA Compliance Support

Where STRA registration support or compliance documentation is provided:

  • PlaceMates assists with administrative preparation and guidance only
  • Approval decisions and processing timelines are controlled by NSW Government authorities
  • Owners remain responsible for ongoing compliance, re-registration, and operational limits

8.6 Reports, Audits & Digital Products

Suburb Market Reports, Listing Audits, and Booking Performance Audits are prepared based on data available at the time of preparation, including third-party market data sources. PlaceMates does not guarantee the accuracy of third-party data and is not liable for outcomes resulting from reliance on a report or audit beyond its intended purpose. Digital tools (such as calculators) provide estimates only and are not a substitute for professional financial advice.

8.7 Website & Service Availability

Our website and any associated tools (including calculators, booking forms, or checkout functionality) are provided on an "as available" basis. While we take reasonable steps to keep our website and digital tools accurate, secure, and operational, we do not warrant that they will be uninterrupted, error-free, or free of faults at all times. Where a website or tool fault affects a paid transaction, please contact us so we can resolve it.

8.8 Third-Party Websites & Links

8.9 Affiliate Relationships & Referral Compensation

PlaceMates may recommend, refer, or facilitate access to third-party products, services, contractors, or platforms, including technology providers, guest screening or protection products, smart home devices, insurance providers, furnishing or styling suppliers, and booking or distribution platforms. In some cases, PlaceMates may receive a referral fee, commission, credit, discount, or other financial benefit from a third party as a result of a client's use of, or sign-up to, a recommended product or service.

Any such compensation does not increase the cost to the client beyond that third party's own standard pricing, and does not remove PlaceMates' obligation to act reasonably and with the client's interests in mind when making a recommendation. Where a material financial benefit applies to a specific recommendation, PlaceMates will disclose this to the client on request, or where reasonably practicable at the time the recommendation is made.

Clients are under no obligation to accept any recommended third-party product or service and remain free to source or negotiate alternatives independently.

9. Intellectual Property

All reports, documentation, templates, styling concepts, recommendations, and written materials provided by PlaceMates remain the intellectual property of PlaceMates.

Clients may use deliverables for their own property or business only and may not reproduce or resell them without written permission.

10. Portfolio & Marketing Use

By engaging PlaceMates, you grant permission for PlaceMates to photograph and reference the property for portfolio and marketing purposes, unless you opt out in writing at the time of booking.

Owner names and addresses will not be disclosed without explicit consent.

11. Liability & Indemnification

11.1 Limitation of Liability

To the maximum extent permitted by law, PlaceMates' total liability for any claim is limited to the amount paid for the specific service giving rise to the claim.

PlaceMates is not liable for indirect or consequential losses including lost bookings, lost revenue, or opportunity costs.

11.2 Indemnification

You agree to indemnify PlaceMates against claims arising from:

  • operation of your short-term rental property
  • guest injuries, disputes, or damages
  • platform enforcement actions
  • regulatory non-compliance
  • use of recommendations, reports, or deliverables outside agreed scope

12. Client Responsibilities

Clients agree to:

  • provide accurate property and regulatory information
  • respond promptly to approvals and requests
  • ensure safe access for site visits, deliveries, and contractors
  • maintain appropriate insurance coverage
  • comply with all applicable laws, strata rules, and platform policies
  • pay invoices on time
  • maintain the PMS enrolment, platform connections, permissions, and owner information required for ongoing management
  • promptly review and approve or decline optional technology, protection, and distribution services

13. Force Majeure

PlaceMates is not liable for delays or failure to perform services due to events beyond reasonable control, including:

  • extreme weather
  • illness or emergency
  • contractor unavailability
  • supply shortages
  • platform outages or policy changes
  • government restrictions

Where possible, services will be rescheduled or adjusted in good faith.

14. Refund Processing

Approved refunds will be processed within 5–10 business days, depending on the payment provider and financial institution.

15. Dispute Resolution

Concerns should first be raised in writing to: support@placemates.pro

Both parties agree to attempt good-faith resolution and mediation before commencing legal proceedings.

16. Governing Law

These Terms are governed by the laws of New South Wales, Australia. Disputes will be subject to the exclusive jurisdiction of NSW courts.

17. Australian Consumer Law

Nothing in these Terms excludes, restricts, or modifies any rights or remedies available under the Australian Consumer Law, including consumer guarantees that cannot legally be excluded.

18. Changes to These Terms

PlaceMates may update these website Terms from time to time. The Terms in effect when a one-off service is booked will apply to that service unless the parties agree otherwise in writing.

Changes to an ongoing management tier, management percentage, Core Systems Fee, payout method, or other material commercial term will not be imposed solely by publishing updated website Terms. PlaceMates will provide reasonable written notice and request acceptance of an updated management agreement, Service Schedule, or written variation. If the owner does not accept a material change, either party may exercise any applicable termination right under the existing management agreement.

19. Severability

If any provision of these Terms is found unenforceable, the remaining provisions remain in full force and effect.
